Why aren't my emails being sent?

It is entirely possible to send an unlimited number of emails across all subscription plans in SystemeScale. However, our infrastructure performs strict background checks to ensure optimal deliverability and protect the sender reputation of our entire user community.

If you attempt to send an email broadcast and notice that it remains stuck in a pending state and does not go out immediately, resending it multiple times is unnecessary. Doing so will not force the send. Instead, three standard security protocols may explain why your payload is temporarily suspended.

1. New user email verification (Batching)

We must take significant algorithmic precautions with brand-new users to prevent malicious actors from harming the overall deliverability of the platform. Here is how our automated verification batching works for fresh accounts:

  • First Batch: When you execute your first broadcast, we immediately send the email to a subset of exactly 100 contacts.
  • Pause and Evaluate: After the 100th email departs, the system temporarily halts sending. We collect and analyze the initial performance statistics (open rates, bounces, spam complaints) from that specific batch. This verification pause can last anywhere from a few minutes to six (6) hours, depending on current server loads.
  • Subsequent Batches: If the statistics are poor, the user is moved into a restricted "quarantine" group. If the statistics reflect healthy engagement, we release the next 100 emails and repeat the evaluation pause at the 200-email mark.

We rigorously apply this exact batch-and-evaluate process for the first 500 emails sent from a new account.

Graduating from the New User Group
If your account ages past 16 days and you have successfully dispatched over 500 emails with positive metrics, your profile will officially graduate from the "new user" group and be categorized into our standard high/medium/low-risk pool routing system.

2. Suspensions triggered by importing contact lists

When a user uploads and imports a bulk list of external contacts, the sending of outgoing emails on that account is temporarily suspended. This protective measure ensures the quality of email deliverability across our IP network.

Our goal is not to inconvenience you, but to assist you by actively verifying that your list is healthy. A high-quality contact list minimizes the risk of catastrophic deliverability issues during your first launch.

Contact List Verification Elements

To ensure list quality, our compliance team reviews several critical elements:

  • List origin: We will ask you to explicitly specify how, when, and where you legally obtained your contacts.
  • List condition: We assess the structural health and engagement history of the email addresses in the file.
  • Domain condition: We examine your authenticated sending domain to detect any preexisting blacklisting issues.

When a contact list is large, blindly transferring it from one autoresponder to another without warming it up can lead to severe deliverability failure. By verifying your imported contacts, we offer you the opportunity to start on our platform with a secure foundation.

We strongly encourage all our users to read our foundational help page on executing clean imports before uploading their files.

Prohibition of Non-Compliant Lists
Purchased contact lists, files scraped from the public internet, or emails obtained without the explicit, documented consent of their owners are strictly prohibited on SystemeScale. This rule is aggressively enforced to protect the IP reputation of our platform and ensure the best possible experience for our compliant users.

3. Suspension due to suspicious words

SystemeScale utilizes an advanced internal anti-spam filter that will automatically catch and suspend the sending of an email if the body copy contains suspicious, aggressive, or spam-triggering words (e.g., "$$$", "Make Money Fast", "Free Casino").

When this flag is tripped:

  • Our compliance team will manually review the suspended email content.
  • If the content proves to be legitimate and well-intentioned, they will clear the flag, allow the email to dispatch, and approve your user profile so your future emails are not unnecessarily delayed for the same specific vocabulary.
