A CRM pipeline is an essential tool for managing sales opportunities and tracking the progress of prospects through different stages of the sales process.

How to create and manage a CRM pipeline

To create a pipeline in SystemeScale, go to the CRM section of your account's menu and click Pipelines. Click Create.

Go to CRM from your account menu, click Pipelines, then click Create.

Name the pipeline and save
Give your pipeline a name, add steps, then click Save to finish creating your pipeline.

Default pipeline steps
When a new sales pipeline is created, it is automatically configured with six default steps. You can modify or rearrange them according to your needs.

By default, a new pipeline includes the following six steps:

  • New leads: adding new contacts or leads that have just been identified.
  • Initial contact made: a first contact has been made with the prospect.
  • Proposal sent: an offer or proposal has been sent to the prospect.
  • Negotiation: discussions and negotiations on the terms of the sale.
  • Deal won: the sale has been successfully finalized.
  • Deal lost: the sale was not finalized, and the prospect has been lost.

These steps can be modified or rearranged to fit your specific business needs.

How to add a contact to your pipeline

You can add a contact to a SystemeScale pipeline in two different ways: manually or automatically.

1. Add contacts manually

You can manually add existing or new contacts to any step of the pipeline by navigating to the desired step, then clicking Add a Contact. This allows you to manually add prospects to specific stages.

You can add an existing contact from your list or add a new one by manually entering their information.

After choosing how you want to add your contact, click Next. Choose a contact from your list and click Save.

2. Add contacts automatically

You can also use an automation rule to add prospects to a specific step or move them from one step to another, making the process smoother and faster.

This simplifies opportunity management by avoiding repetitive manual interventions and ensuring prospects move correctly through the pipeline.

How to add a note to a contact

You can add notes to the profile of your pipeline contacts. Notes help you record important information for each contact in the pipeline, including essential details, ideas, or summaries of calls. This centralizes all information in one place for better organization.

Open the contact notes area
Click on the relevant contact, then click the Notes icon.

Write and save the note
Write your note and save it by clicking Save. You can also see previous notes that were added to this contact.

You can modify, pin, or delete existing notes using the icons next to your previous notes.
