In this article, you will learn how to automate your business using SystemeScale automation rules.
Automation rules help you connect an event with a response. When a specified trigger happens, SystemeScale performs the action you selected.
Step 1: Open automation rules

Open the Automations tab
Click on the Automations tab in your account.

Go to Rules
Click Rules to view your automation rules.

Create a new rule
Click Create to create a new automation rule.
Step 2: Understand the rule editor
Inside the rule editor, you will see two columns: Trigger and Action.
- Trigger: the event that tells SystemeScale when to activate the automation rule.
- Action: what SystemeScale should do after the trigger is activated.

Simple automation logic
Think of an automation rule as: When this happens, do this next. The trigger is the "when"; the action is the "do this next."
Step 3: Add a trigger

To select a trigger, click the + icon in the Trigger column.

Choose from the trigger list
Select a trigger from the Add trigger list according to your use case.

Email link clicked cooldown
For the Email link clicked trigger, SystemeScale applies a 1-minute cooldown after the first recorded click. This prevents the rule from executing multiple times due to accidental double-clicks or automated security checks by email providers.
Step 4: Choose the right trigger for your use case
Before choosing a trigger, ask yourself: Who should receive these emails or enter this automation?

Use Funnel step form subscribed for prospects
To send emails to prospects who registered through a popup or funnel page, select Funnel step form subscribed, then select the title of your page.

Use New sale for customers
To send emails or perform actions for customers who purchased your product, select New sale.

Use Tag added for tagged contacts
To target contacts who have been assigned a specific tag, select Tag added.

Important tag timing rule
The tag must be added to the contacts after the rule is set up. If the tag was already on the contact before the rule existed, that existing tag will not activate the new rule.
Step 5: Add an action

Click the action plus icon
To add an action, click the blue + icon next to Action.

Select an action
Choose an action from the Add action list according to your use case.

Create the action details
For example, to automatically send an email to a prospect after they register, select the Send email action, then create an email by clicking the + icon.

Save the rule
Click Save Rule to save your changes.

Step 6: Create automation rules from the Funnels editor
You can also create automation rules directly inside your Funnels editor. This is useful when you are already working on a funnel step and want to attach an automation rule to that part of the customer journey.
Step 7: Know the trigger activation limit
A trigger can only be activated a maximum of 20 times by the same contact.

After the 20th activation by the same contact, the trigger will be deactivated, and automation rules and workflows will be disabled for that contact.
Step 8: Understand automation rule task history
Automation rule task history is stored for only one month. After this period, it is automatically removed as part of data cleanup and optimization.

Why a past task may disappear
If you cannot find a past task in a contact profile, it is likely older than 30 days and has been removed.
