How to integrate Google Calendar in SystemeScale

In this article, you will learn how to integrate your Google Calendar account with SystemeScale.

The integration helps centralise your appointments, calendar events, booking confirmations, reminders, follow-up emails, and scheduling automations.

How to set up the Google Calendar integration

The setup is quick and simple. In just a few steps, you can connect your Google account and start managing your calendar from Google Calendar inside SystemeScale.

Open Settings
Click on your profile picture, then go to Settings.

Open Google Calendar from Integrations
Scroll down the left menu to Integrations, then click on it. Click Google Calendar among the various available integrations to add a Google account to your SystemeScale account.

Start the connection
In the popup window, click Connect to start the integration of your Google Calendar.

Select your Google account
A second popup will appear. Select the Google account you want to add, then click Continue so Google can allow SystemeScale to access the required information.

Approve calendar permissions
A window will open with a permission request from SystemeScale to access your Google Calendar. Check the box Select All during the permission request. This activates access to view, modify, and manage all your calendars, allowing SystemeScale to automatically synchronise your events, particularly for appointment scheduling or calendar-related automations.

Confirm the integration is connected
After the permission step, the Google Calendar integration will show as connected to your SystemeScale account.

Google Meet connection
Google Meet is connected by default to your SystemeScale account after the Google Calendar integration is completed.

Manage connected Google Calendar accounts

Click the Connected button to view account details, disconnect the account, or add another Google account.

In the Google Calendar integration area, the default calendar is the calendar where all events created from your pages, forms, or automations will be automatically added.

It serves as the main calendar for centralising your appointments. The Check for Conflicts option helps avoid overlaps by analysing your connected calendars before confirming a booking. This ensures better organisation and prevents double-scheduling when you integrate multiple Google Calendar accounts.

Use the default calendar carefully
Choose the calendar you want SystemeScale bookings and automation-created events to appear in by default, especially if you connect more than one Google Calendar account.

Features available with Google Calendar integration

  • Automatic creation of Google Calendar events: when a user schedules an appointment through a SystemeScale calendar, an event is automatically created in your Google Calendar account.
  • Adding event details to emails: appointment information such as date, time, and subject can be automatically included in confirmation, reminder, or follow-up emails sent to participants.
  • Two-way synchronisation: updates or cancellations made on SystemeScale are automatically reflected in Google Calendar, and vice versa.
  • Centralised schedule management: all appointments scheduled through SystemeScale appear in Google Calendar, allowing you to view and manage your schedule in one place.
  • Automatic notifications: participants receive reminders before the appointment thanks to alerts configured in Google Calendar.

Notification emails

Notifications are sent to the event owner and the guest who made the booking in the following cases:

  • Booking Confirmation: confirmation emails are sent to both parties to indicate that the booking was successful.
  • Rescheduling: when a booking is rescheduled, notification emails are sent to both parties with the new booking details.
  • Cancellation: if either party cancels a booking, cancellation emails are sent to both parties.

Guest cancellation flow
Emails sent to guests contain a Cancel button that redirects them to a confirmation page. Once the confirmation is completed, the cancellation is processed and the corresponding cancellation emails are sent.

Important notes

  • You can integrate multiple Google Calendar accounts into your SystemeScale account.
  • Creating and editing Google Actions for Workspace assistants is disabled. Only the account owner can perform these actions, ensuring better security for integrations and exclusive control over their use.
