How to integrate Google Meet in SystemeScale

- You can directly create and integrate Google Meet links in your emails, automations, or pages from your SystemeScale account.

Google Meet depends on Google Calendar
Google Meet is connected through the Google Calendar integration. If Google Calendar is not connected yet, SystemeScale will ask you to connect it first.
How to set up the Google Meet integration
The setup is quick and simple. In just a few steps, you can connect your Google account and start offering meetings from Google Meet inside SystemeScale.

Open Settings
Click on your profile picture, then navigate to Settings.

Open Google Meet from Integrations
Scroll down the left menu to the Integrations section, then click on it. Click Google Meet among the various available integrations to add a Google account to your SystemeScale account.

Manage the required calendar integration
A popup will appear stating that you must first integrate Google Calendar. To continue, click Manage calendar integration.

Start connecting Google Calendar
In the next window, click Connect to start integrating your Google Calendar.

Select the Google account
A third popup will appear. Select the Google account you want to use.

Continue with Google access
Click Continue so Google can allow SystemeScale to access your information.

Approve calendar permissions
A window opens with a permission request from SystemeScale to access your Google Calendar. Check the Select All box when the authorisation request appears. This activates access to view, modify, and check all your calendars, allowing SystemeScale to automatically sync your events, especially for scheduling appointments or calendar-related automations.

Confirm Google Calendar and Google Meet are connected
Finally, you will see that the Google Calendar and Google Meet integrations are now connected to your SystemeScale account.

Connected account options
After clicking Connected, you will see the client account information. From there, you can disconnect this Google account or add other accounts.
Features available with Google Meet integration
- Automatic creation of Google Meet links: when a Google Meet event is created after registration on a SystemeScale calendar, a Google Meet link is automatically generated and attached to the event.
- Google Meet links in confirmation emails: the videoconference link is automatically included in emails sent to participants, including confirmation and reminder emails.
- Synchronised scheduling in Google Calendar: appointments made on a SystemeScale calendar are automatically added to your Google Calendar account, with the Google Meet link integrated.
- Synchronised updates and cancellations: any modification, time change, or cancellation is synchronised with Google Calendar and automatically updates the Google Meet link and notifications.
- Smart notifications: automatic reminders are sent to participants with the Google Meet link before the start of the appointment.

Best use case
Use Google Meet when you want booking-calendar appointments to automatically include a meeting link and calendar event.
Notification emails
Notifications are sent to the event owner and the guest who made the booking in the following cases:
- Booking Confirmation: confirmation emails are sent to both parties to indicate that the booking was successful.
- Rescheduling: in the event of rescheduling, notification emails are sent to both parties with the new booking details.
- Cancellation: if either party cancels a booking, cancellation emails are sent to both parties.

Guest cancellation flow
Emails sent to guests contain a Cancel button that redirects them to a confirmation page. Once confirmed, the cancellation is processed and the corresponding emails are sent.
Important notes
- You can integrate multiple Google Meet accounts into your SystemeScale account. You just need to connect multiple Google Calendar accounts.
- Creating and editing Google Actions for Workspace assistants is disabled. Only the account owner can perform these actions, ensuring better security for integrations and exclusive control over their use.
