Why aren't my PayPal payment transactions appearing?

βœ… PayPal IPN

In this article, you will learn why PayPal payments might not appear in your SystemeScale account.

What you'll need

  • A SystemeScale account
  • A PayPal account connected to SystemeScale. If you have not connected PayPal yet, follow the PayPal integration guide.

Why PayPal transactions may not appear immediately

When a customer makes a PayPal payment and it does not reflect in your SystemeScale transaction list, the first step is to confirm the proper configuration of the IPN settings in your PayPal account.

IPN means Instant Payment Notification. These settings tell SystemeScale whether a PayPal payment succeeded or failed.

PayPal IPN controls payment notifications
For PayPal payment plans and subscriptions, SystemeScale needs PayPal’s IPN/webhook notification to process the transaction and generate the related invoice.

Confirm your PayPal IPN settings

Even if your PayPal account is already connected, confirm that your IPN parameters are correctly configured.

Use the PayPal integration guide if you need to review the correct setup steps for PayPal notifications and the PayPal IPN notification URL.

Wait for PayPal confirmation

Even if you have configured your IPN parameters, PayPal may take up to 72 hours to confirm a payment.

It is normal for the transaction not to appear immediately in your SystemeScale account.

Allow up to 72 hours
If the payment was recent and your PayPal IPN settings are correct, the transaction may still appear after PayPal completes its confirmation process.

When PayPal fails to send the webhook

Occasionally, PayPal fails to send the webhook to SystemeScale. This prevents the transaction from displaying on the SystemeScale platform, even if your IPN settings are configured correctly.

To resolve this and generate your customers' invoices, you must manually resend the webhooks to SystemeScale for the specific payments in your PayPal account.

⚠️
Webhook delivery can affect invoices
If SystemeScale does not receive the PayPal notification for a payment plan or subscription, the transaction and corresponding invoice may not appear until the IPN message is resent.

Manually resend PayPal IPN messages

To learn how to resend IPN messages manually, check PayPal’s official IPN operations guide:

After the IPN message is resent successfully, the transaction and corresponding invoice will be generated in SystemeScale.

Resending IPN can restore missing records
After PayPal resends the correct IPN message, SystemeScale can receive the payment event and generate the missing transaction and invoice.

Single payments vs payment plans and subscriptions

This issue typically does not occur for single payments, as webhooks are not required for their display.

However, for payment plans and subscriptions, SystemeScale requires the webhook from PayPal to process the request and automatically generate the invoice.

Subscriptions depend on PayPal notifications
If the missing transaction is connected to a payment plan or subscription, checking and resending the PayPal IPN message is especially important.
