In this article, you will learn how to import or export a contact file in SystemeScale.

You can import a contact list from a CSV file, assign tags during import, subscribe contacts to a campaign, map each column to the correct contact field, and export selected contacts from your CRM contact list.

What you need before you start

  • A SystemeScale account
  • An email list saved in CSV format
  • Explicit consent from the contacts you plan to import

Only import contacts who gave consent
The list of contacts you import must only contain email addresses of people who have given explicit consent to receive your emails.

Importing an email list

Before importing contacts, make sure your contact list is saved in CSV format.

If your list is in Excel or another spreadsheet format, convert it to CSV first.

Open your contact list file
Open the spreadsheet or contact list file in Excel or your preferred spreadsheet tool.

Choose Save as
Click File, then choose Save as.

Select CSV format
Select CSV format and choose the desired separator, such as comma.

Save the CSV file
Click Save to finalize the CSV file before importing it into SystemeScale.

Import the CSV file into SystemeScale

Once your file has been saved in CSV format, log in to your SystemeScale account to import the contacts.

Open Contacts
Go to CRM β†’ Contacts.

Click Import contacts
Click Import contacts to open the import screen.

Select the CSV delimiter
Choose the delimiter used in your CSV file: comma, semicolon, or pipe.

Upload the CSV file
Click the upload box labeled Click to select the CSV file that contains your contacts, then select your file.

Assign tags during import

During the import process, you can select a tag to assign to the imported contacts.

This helps you organize imported contacts immediately, segment them later, and trigger automation based on the assigned tag.

Create or select a clear tag for each import, such as β€œJune Webinar Leads” or β€œImported Customers,” so you can identify the contact source later.

Subscribe contacts to a campaign during import

You can also subscribe imported contacts to a campaign during the import process.

This is useful when you want imported contacts to immediately begin receiving a specific email sequence.

Select column data

After clicking Next, a popup appears where you choose the data type for each column in your CSV file.

For example, you can map columns to fields such as:

  • Email
  • First name
  • Last name
  • Phone number
  • Other relevant contact fields from your file

After mapping the columns, click Import to begin the import process.

Make sure the column containing email addresses is mapped correctly, because email addresses are the main identifier for imported contacts.

Exporting an email list

You can export selected contacts from the Contacts list.

To export contacts, go to the CRM tab, then click Contacts to display your contact list.

Go to CRM β†’ Contacts.

Select the contacts you want to export.

Click More actions.

Click Export
From the action list, click Export.

Where the exported file is sent

After clicking Export, SystemeScale generates a CSV file containing the selected contacts.

The generated CSV file is sent to the email address associated with your SystemeScale account.

The export file is delivered by email, so check the mailbox connected to your SystemeScale account after requesting the export.
