How to invite an assistant to your SystemeScale account

In this article, you will learn how to grant others access to your SystemeScale workspace as an assistant.

This feature is ideal for collaborating with colleagues or team members without sharing your login credentials.

What you will need

  • A SystemeScale account
  • The email address of the person you want to invite

Only invite people you trust
Assistants may be able to create, read, update, or delete important workspace data depending on their role. Do not invite someone unless you trust them with your business workspace.

Steps to follow to invite an assistant

Click on your profile picture, then go to Settings.

In the settings menu, click Workspace members, then click Invite.

In the Invite new assistant popup, enter the email address of the person you want to invite, then click Invite.

Click Invite to open the assistant invitation popup.

Send the invitation
Enter the assistant’s email address, then click Invite.

What happens after the invitation is sent?

The assistant will receive an email invitation to join your SystemeScale workspace.

They simply need to click the confirmation link in the email to access your workspace.

  • If the assistant already has a SystemeScale account, they will be redirected to the login page.
  • If they do not have an account, they will be prompted to create one by setting a password.
  • Once logged in, assistants can switch between workspaces from the top-left menu in their dashboard.

Invitation email
The invitation email contains the confirmation link the assistant must click before workspace access becomes active.

Confirmation status

Assistants who have accepted the invitation will appear as Confirmed with a green checkmark.

Others will appear as Not confirmed.

Confirmed means accepted
If an assistant is still marked as Not confirmed, ask them to check their inbox, promotions folder, or spam folder for the invitation email.

Assistant access

Assistants can access and manage the workspace owner’s data, including creating, reading, updating, and deleting items in supported sections.

Here are examples of what assistants can access:

  • Contacts, limited depending on permission level
  • Tags
  • Pipelines
  • Calendar
  • Blogs
  • Sales funnels
  • Creator store
  • Newsletters
  • Campaigns
  • Email statistics
  • Automation rules
  • Workflows
  • Physical products
  • Coupons
  • Courses
  • Communities
  • Files
  • Orders
  • Transactions, with visibility depending on permission level
  • Subscriptions, with visibility depending on permission level
  • Course bundles

Settings assistants may access

Depending on the role assigned, assistants may also access selected settings areas such as:

  • Account
  • Emails
  • Courses
  • Sales funnels
  • Notifications

The exact areas available to an assistant can depend on the role assigned and the permissions enabled in the workspace.

Give administrator access to an assistant

To grant administrator access to an assistant, click the three-dot menu next to the assistant’s name, then click Edit Role.

Choose the Admin role, then click Save.

Once granted, an admin icon will appear next to their email address, and a notification will confirm the change.

What extra access does an administrator have?

Admins have the same permissions as assistants, plus access to more sensitive data and advanced settings.

1. Access to sensitive data

Admins may be able to view:

  • Revenue
  • Full contact list
  • Transaction history
  • Students

Export restrictions may still apply
Even when an admin can view more data, some export actions may remain reserved for the workspace owner.

2. Access to advanced settings

Admins may be able to manage advanced workspace settings such as:

  • Payment-related tax and pricing settings
  • Invoice footer settings
  • Workspace members and assistant access
  • Notifications
  • Supported integrations
  • Other workspace settings available to admin roles

Be careful with administrator access
Administrator access should only be given to highly trusted people because it can expose sensitive business data and advanced settings.

Sections not accessible to assistants and administrators

Some sections are reserved for the account owner, even for administrators. These can include:

  • Profile: Personal information of the account owner.
  • My plan: Manage your SystemeScale subscription plan.
  • Payment gateway: Add and manage payment gateways.
  • Manage my subscriptions: View and cancel subscriptions.
  • Shipping settings: Configure shipping options for physical products.
  • Custom domains: Add, configure, or remove custom domains linked to the account.

How to revoke an assistant’s access to your workspace

To revoke an assistant’s access to your workspace, click the three-dot menu, then select Delete next to the assistant you wish to remove.

Open Workspace members
Go to SettingsWorkspace members.

Open the assistant menu
Click the three-dot menu next to the assistant you want to remove.

Delete access
Click Delete to revoke their workspace access.
Access revoked
After deletion, the assistant will no longer have access to your workspace.
